"How much does custom software cost?" has the same problem as "how much does a house cost?". The honest answer is a range so wide it is useless, unless you know what drives it. Here is what actually moves the price, how to buy software without the budget running away, and what we charge, in public.
What drives the cost of custom software
Workflows, not screens. The real unit of work is a process the software has to run: taking a booking, approving an order, issuing an invoice, tracking a job through production. Each workflow has states, rules and exceptions. Five screens around one workflow cost less than two screens that each hide a complicated one.
User roles and permissions. Software for one office manager is simpler than software where staff, managers, clients and suppliers each see and do different things. Every role multiplies the cases to design and test.
Integrations. Connecting to accounting, a CRM, payment providers, WhatsApp, an ERP or a supplier's API is where estimates go wrong most often. A well-documented API is days of work; an old system with no API can be weeks.
Data you bring along. Moving years of spreadsheets or records from an old system into a clean database takes cleaning, mapping and checking. It is often underestimated, and it is the part your team will notice first if it is done badly.
How certain the scope is. The more that is unknown when work starts, the more an hourly quote will grow, or the more buffer a fixed quote will carry. A short scoping phase that removes the unknowns is the cheapest money in the project.
Buy a first release, not a full system
The most expensive way to buy software is to specify everything you might ever need, then wait months for all of it. By the time it launches, the business has changed and half the specification is wrong.
The cheaper way is a first release: the smallest version that replaces one painful process completely. Fixed price or hourly?
An hourly rate looks cheaper per hour, but every unclear requirement becomes your risk. If the estimate was 200 hours and the work takes 320, you pay for 320.

The running costs nobody quotes
The build is not the whole bill. Budget for:
- hosting and the database, usually a modest monthly amount for a business tool,
- third-party services the software uses, such as WhatsApp messages via Meta, maps, email delivery or AI APIs, billed at cost,
- changes and updates, either per change or as a care plan,
- your team's time to learn the new tool, which is short when the software follows how they already work.
Ask every supplier who owns the code and the accounts when the project ends. If it is not you, the cheapest quote can become the most expensive one.
Build or buy?
Custom software is not always the answer. If a SaaS product fits your workflow, buy it. Build when you would otherwise bend the business around a tool, pay per-user fees for features you do not use, or keep retyping data between systems.
