When a booking marketplace suits a spa or clinic, when your own booking system pays off, what it costs, and how to switch without losing clients.

Most spa and clinic owners I talk to started on a booking platform, and most of them were right to. You get online booking in an afternoon, reminders, a payment terminal, sometimes new clients from the marketplace. For a new business, it's hard to beat.

The question comes later, usually around the time a second therapist becomes a fifth and a single location becomes two. The monthly bill has grown, the workarounds have multiplied, and clients book you through an app that also shows them your competitors. That's when people search for "Fresha alternatives" or "Booksy alternatives".

This is the decision guide I wish more owners had before switching, written by someone who builds booking systems but doesn't think everyone needs one.

What booking platforms do well

Be fair to them first:

  • Speed. Live in a day, with no project.
  • Low up-front cost. A subscription or fees instead of a build.
  • Discovery. Marketplaces can bring new clients who search the app.
  • Maintenance. Someone else handles updates, security and hosting.

If you're one or two people, in one location, with standard treatments, a platform is probably the right tool and you should stop reading here.

Where they start to pinch

Fees that scale with your success

Pricing models differ by platform and change often, so check the current fee pages yourself. But the pattern is common: costs that grow per team member, per booking, per payment or per marketplace client. The better you do, the more you pay, and the money leaves every month without building anything you own.

Your rules don't fit

Packages that combine treatments, therapists who can only do certain services in certain rooms, couples' bookings, voucher rules, deposits for some treatments and not others. Platforms handle the common cases well. Your specific rules become workarounds, or a staff member checking every booking by hand.

Your clients are on someone else's platform

When clients book through a marketplace app, they see other businesses next to yours. Your booking page carries the platform's branding as much as yours. And the client relationship, in a real sense, sits with the platform.

Bookings, clients and takings live in different places

The booking app, a spreadsheet of client notes, a separate till, vouchers on paper, reminders by hand. Every gap is time and a chance for error.

  2. Import before launch. Clients and future bookings should be in the new system on day one, so nobody has to rebook.
  3. Run both briefly. Keep the old platform live for existing bookings while new ones go to your own system.
  4. Tell your regulars. A WhatsApp message or an email with the new booking link, and a note at the desk. Regulars follow when it's easy.
  5. Update every link. Google Business Profile, Instagram bio, website buttons. The booking link should point to your own system everywhere.
  6. Watch the first weeks. Check that reminders arrive, cancellations free the slot, and staff schedules are right.

Questions to answer before you decide

  • What do we pay our platform per month today, and in two years at our planned size?
  • Which of our rules does the platform not handle, and who fixes that by hand?
  • Where do client notes, payments and vouchers live?
  • How many of our bookings come from the marketplace, and how many from clients who already know us?
  • Do we want bookings on our own brand and website?
