WhatsApp Booking Reminders for Spas and Clinics: A Practical Guide

Illustration: WhatsApp Booking Reminders for Spas and Clinics: A Practical Guide

A practical guide: why spas and clinics move reminders to WhatsApp, how Meta's official platform works, and what a complete booking system looks like.

Every spa and clinic knows the pattern. The phone rings all day with the same questions. Someone forgets their appointment. A cancellation arrives too late to refill the slot. And reminders sent by email sit unread in a promotions tab.

When we built the system for Relax Club, a body and skincare centre in Belgrade, moving confirmations and reminders to WhatsApp was one of the first decisions. Here's why, and how to do it properly.

Why WhatsApp

Because that's where clients are. People check WhatsApp constantly through the day; email, much less. A reminder on WhatsApp arrives in the same place as messages from friends and family, and it gets read.

It's also where clients already try to contact you. Meeting them there turns a channel you answer by hand into one that works on its own.

Do it the official way

There are two ways to automate WhatsApp:

  • Unofficial tools that drive a normal WhatsApp account like a robot. They break WhatsApp's terms, and they can get your business number banned.
  • Meta's official WhatsApp Business Platform. Messages are sent through an approved API, using message templates Meta approves in advance. This is the route to take (Meta: WhatsApp Business Platform).

Relax Club's confirmations and reminders run on the official platform, sent automatically by the booking system.

What to automate

A good starting set:

  1. Confirmation the moment a booking is made, with the date, time, treatment and address.
  2. A reminder before the appointment.
  3. Cancellation from the message, so the freed slot goes straight back on sale instead of sitting empty.

Keep messages short, clear and useful. Every message should be something the client is glad to receive.

Reminders are only as good as the system behind them

A reminder can't be accurate if the diary isn't. That's why WhatsApp works best inside a complete system rather than bolted onto a paper diary. At Relax Club, it's one system:

  • 24/7 online booking on real therapist availability, with the right therapist assigned automatically
  • Online cancellation that reopens the slot
  • A client records database with every visit and treatment
  • An online till for payments and daily takings
  • Personalised PDF gift vouchers, generated automatically and verified by code
  • AI agents and work tracking for the team

Online bookings started on the day the site launched, before any advertising.

Custom system or booking app?

Platforms like Fresha, Booksy or Treatwell are a fast start. A custom system makes sense when you want bookings on your own website and brand, no marketplace fees, WhatsApp automation, and client records, till and vouchers in one place.

If the phone is still your booking system, here's how we build custom booking systems, and what we do for spas, clinics and wellness studios.

Frequently asked questions

Can a spa send booking reminders on WhatsApp?

Yes. Through Meta's official WhatsApp Business Platform, a booking system can send confirmations and reminders automatically on WhatsApp, where clients are most likely to read them.

Is it allowed to send automated WhatsApp messages to clients?

Yes, through the official WhatsApp Business Platform with approved message templates and the client's consent. Unofficial automation tools break WhatsApp's terms and risk getting the number banned.

What should a spa booking system include besides reminders?

24/7 online booking on real availability, online cancellation, client records, payments at the till, gift vouchers and a clear view of the day's work.
